The Problem We Solve

Lubricant distribution
is not generic
warehousing.

Drums, pails, cases, and gallons each carry different costs, sell through different channels, qualify for different buyback programs, and move through consignment arrangements that generic warehouse systems were never designed to track. BookWorks handles all of it — natively integrated with your fuel wholesale and accounting operations.

🔄
Major oil buybacks are tracked manually

Mobil, Chevron, Shell, Pennzoil — each with their own volume requirements, credit rates, and reporting periods. BookWorks automates the tracking and credit calculation so you collect every dollar you've earned.

🧪
Blended products are an inventory nightmare

When you blend two base oils into a finished product, your inventory has to correctly consume the components and create the finished good. BookWorks blending recipes handle this automatically — including auto-blend from truck locations.

📦
Vendor managed inventory is manual and error-prone

When your supplier manages inventory at your warehouse, reconciling what they say is on hand versus what your system shows is a monthly headache. VMI in BookWorks keeps supplier and warehouse views in sync automatically.

💀
Dead stock sits undetected until it's written off

The Dead Stock Report now includes last ordered quantity — so you can see not just that an item hasn't moved, but how much of it was purchased before it stopped selling. Catch write-offs before they happen.

Inventory Management

Every SKU.
Every location.
Every movement.

BookWorks tracks lubricant inventory across warehouse locations, customer consignment tanks, and truck compartments — with a recent addition that distinguishes between Readings (total quantity at a location) and Adjustments (quantity shifts) for a cleaner audit trail.

Readings vs. Adjustments NewTwo distinct inventory transaction types: a Reading captures the total quantity at a location (physical count, stick measurement); an Adjustment shifts quantity by a given amount. Both tracked separately for audit clarity.
Multi-Location TrackingTrack inventory across warehouse zones, bulk storage, customer VMI locations, and truck compartments simultaneously — with real-time position across all locations.
Auto-Blend from Inventory Location NewAutomatically blend from an inventory location on a shipment with a truck location — supporting DEF, biodiesel blend, and finished lubricant blend workflows without manual journal entries.
Dead Stock Report with Last Ordered Qty UpdatedDead Stock Report now shows last ordered quantity alongside days since last movement — so you know not just that a product stopped selling, but how deep the exposure is.
Inventory Value SummaryInventory Value Summary report with widened cost and value fields — accommodates large-volume operations without truncation that obscured figures in prior versions.
Multiple Units of MeasureTrack inventory in quarts, gallons, pails, drums, and totes simultaneously — with automatic unit conversion at the transaction level.
WarehouseWorksEasily set up thousands of inventory items with item-specific units of measure, efficiently assign each product to a bin location, and use a handheld scanner to receive and pick inventory and take physical counts — bringing warehouse-grade accuracy to lubricant distribution without a separate WMS system.

Inventory Adjustment Types

📊 Reading

Records the total quantity at a location at a point in time — like a physical count or stick measurement. Sets the absolute level.

e.g. "Tank 3 = 480 gallons at 8am"

↕ Adjustment

Shifts quantity by a given amount — either positive or negative. Used for spoilage, shrinkage, or corrections to existing inventory.

e.g. "−12 drums — damaged in transit"

Blending & Kitting

Custom blends,
perfectly tracked
every time.

Whether you're blending base oils into finished lubricants, creating kit packages of multiple products, or blending DEF and biodiesel at the truck — BookWorks recipe management handles component consumption and finished-good creation automatically.

Blending & Kitting Recipe Management NewConfigure recipes that define exactly which base components — and in what proportions — go into each finished blend or kit. The new recipe listing report gives a complete reference of all configured specifications.
Recipe Listing Report NewA dedicated blending and kitting recipe listing report — showing all configured recipes with components, ratios, and finished product output. Essential for production planning and QA documentation.
Auto-Blend at Shipment NewBlending can be triggered automatically at the shipment level — consuming components from an inventory location and allocating the finished blend to a truck location — without separate production orders.
Component Inventory ConsumptionWhen a blend is executed, component inventories are automatically reduced by the recipe quantities and the finished product inventory is increased — keeping your position accurate at all times.
DEF & Biodiesel BlendingSupports DEF (diesel exhaust fluid) and biodiesel blend workflows — including percentage-based blending at the truck compartment level for in-field operations.

Major Oil Company Buybacks

Collect every buyback
credit you've earned.

Major oil company buyback programs — Mobil, Chevron, Shell, Pennzoil, Castrol, and others — reward distributors for moving volume. But collecting those credits requires precise tracking of qualifying sales by product, period, and program tier. BookWorks automates the tracking so nothing slips through.

Per-Supplier Buyback Program TrackingConfigure buyback programs for each major oil supplier with their specific qualifying products, volume tiers, credit rates, and reporting periods. BookWorks tracks accumulation against each program throughout the period.
Sunoco Loyalty XML Import NewNew XML import format for Sunoco Loyalty data — integrates Sunoco's loyalty and buyback program directly into BookWorks without manual data re-entry.
Buyback Credit ReconciliationPeriod-end buyback reports show qualifying volume, credit rates, and total credits earned — formatted to match each supplier's reporting requirements for claim submission.
AP Integration for Buyback CreditsBuyback credits post directly to Accounts Payable as supplier credits — fully integrated with the GL so your financial statements reflect the true net cost of goods sold.
Volume Tier TrackingMany buyback programs have tiered credit rates based on total volume. BookWorks tracks your position in each tier and projects your period-end credit at current run rates.

Vendor Managed Inventory

Your supplier's eyes
on your warehouse.
In sync.

In vendor managed inventory arrangements, your major oil supplier monitors your stock levels and initiates replenishment — but discrepancies between their view and your system's view create endless reconciliation headaches. BookWorks keeps both in sync.

01
Supplier monitors your VMI product levels

Your supplier has visibility into configured VMI product levels in your BookWorks system — seeing current on-hand, committed quantity, and days-of-supply at current run rates.

02
Replenishment triggers are configured by product

Each VMI product has a configured minimum level. When BookWorks projects that level will be reached within the configured lead time, a replenishment alert is generated.

03
Supplier initiates the delivery

Based on the alert, the supplier ships product to your warehouse. BookWorks receives the delivery against the VMI arrangement — updating inventory and posting to AP automatically.

04
Reconciliation is automatic

The Purchase Clearing tab in the Vendor screen shows all unmatched supplier receipts for VMI products — so you always know when a delivery hasn't been fully reconciled against the purchase agreement.

Consignment Tracking

Consigned inventory
tracked from
supplier to sale.

Consignment arrangements in lubricant distribution — where ownership doesn't transfer until the product is sold — require precise tracking that most warehouse systems handle poorly or not at all. BookWorks tracks consignment from the supplier's rack through your warehouse to the customer's site, with billing triggered on actual sale.

Rack-to-warehouse consignment — supplier retains ownership until you sell it. Inventory position tracked, billing auto-triggered on sale.

Warehouse-to-customer consignment — you retain ownership at the customer site until they use it. Usage-based billing and reconciliation.

Consignment expiration handling — fixed in recent release: BOL imports correctly handle consignment expiration dates without eliminating active receipts.

Purchase Clearing tab — new Vendor screen tab shows all unassigned supplier consignment receipts, eliminating the risk of unclaimed inventory.

Sunoco Loyalty XML import — new format integrates Sunoco's loyalty and consignment data directly into BookWorks.

Pricing & Order Management

Complex lubes pricing,
handled natively.

Lubricant pricing involves list prices, contract discounts, volume tiers, pickup location markups, and customer-specific overrides — all of which need to flow through to the invoice correctly. BookWorks handles every pricing structure without manual workarounds.

Price Matrix by Inventory Type NewImport price matrix overrides by inventory type — enabling different pricing structures for bulk, packaged, and blended product categories simultaneously.
Customer Pickup Location Markups NewDefine markups based on which pickup location a customer uses — critical for multi-warehouse operations where freight-included pricing varies by sourcing location.
Separated Markup & Discount on Price List UpdatedMarkup and discount are now shown as distinct line items on the Price List — giving customers and your sales team a clearer view of the pricing structure.
Meter Billing Contract NewNew contract type for meter-based billing — ideal for equipment lubrication programs where billing is based on metered usage rather than delivered quantity.
Auto-Cancel Flag on Sales Orders NewEnable and default the Auto-Cancel flag on lubes sales orders to automatically clean up stale orders based on your configured expiration rules.
Surcharge Exempt by CustomerPrice list correctly honors per-customer surcharge exempt settings — preventing fuel surcharges from appearing on customers who have negotiated surcharge-free contracts.
